HOW RESIDENT DATA IS TREATED
This notice covers information handled by this website and our editorial correspondence. We do not operate your building’s access system or receive its entry records.
Who is responsible
Ottercloudyorchrd Ltd is responsible for personal information processed for this website and its editorial enquiries. Our registered office is 16 Colmore Row, Birmingham B3 2BH, United Kingdom; company no. 14697285. Contact [email protected] for privacy questions.
Reading the website
The supplied website contains no analytics, advertising pixels, embedded third-party media or scripts that collect browsing profiles. Images, styles and scripts are served as site files. Delivering a webpage necessarily involves technical information such as an IP address and requested resource. Hosting infrastructure may process request and security logs to deliver and protect the service.
Technical processing is for service delivery, fault diagnosis and security, based on our legitimate interests in operating a reliable information website. We do not use the site to make automated decisions about residents or to sell personal information.
The local enquiry tool
Information entered into the enquiry sheet is used by JavaScript in your browser to create a preview. The tool has no sending endpoint and does not upload the input or store it in cookies or localStorage. Changing or leaving the page can discard the draft, although your browser may independently restore form contents.
Copying uses your device’s clipboard after you request it. Downloading creates a text file on your device. Your operating system, browser, clipboard history or backup services may retain those copies. You control their deletion. Nothing is emailed until you choose to use your own email service.
If you email us
We receive the details you choose to send, your email address and normal email metadata. We use them to respond, assess corrections, maintain relevant correspondence and handle legal or privacy requests. Ordinary editorial correspondence is processed on the basis of our legitimate interests in answering readers and improving accurate information. Legal obligations may provide a separate basis for particular records or rights requests.
Do not send access credentials, sensitive building layouts, private event logs or unnecessary personal information. If a question concerns another person, describe the issue without identifying them. We do not need health details to understand a general accessibility topic.
Access, service providers and retention
Access to correspondence should be limited to people handling the relevant enquiry. Hosting and email providers may process information on our behalf; information may also be disclosed where legally required or necessary to establish or defend legal rights. If processing involves an international transfer, applicable data-protection safeguards must be used.
We retain correspondence only for as long as needed to resolve the enquiry, maintain a relevant correction record or meet legal requirements. Relevance, sensitivity and outstanding disputes affect the period. Technical logs should be retained only for operational and security needs. You may ask about the retention applicable to your specific correspondence.
Your rights and choices
Depending on the circumstances, UK data-protection law provides rights of access, rectification, erasure, restriction, objection and data portability. Rights are not absolute. We may need proportionate verification before responding, but please do not send identity documents in an initial enquiry. You can object to processing based on legitimate interests.
You may complain to the Information Commissioner’s Office. We welcome the opportunity to address a concern first, but that does not limit your right to contact the regulator.
